Booking Amendments and Cancellations

We hope your stay with us runs smoothly from the point of booking. Having said that we know that things can change from time to time. Our Amendments and Cancellation Policy has been created to help you plan ahead and understand our limitations should you need to.

Before making your booking please take a few minutes to read through this information. By making your booking you also agree to these terms and conditions. If you have any questions please don’t hesitate to contact us.

Payment Policy

Full payment must be made at the time of booking. Pitches, cabins and/or lodges are not secured until the full balance of the booking has been cleared, including any added extras you might choose.

Provisional bookings made over the phone, followed by a payment link, will be held for a maximum of 10 days. If the balance isn’t cleared before the link expires the booking will be cancelled. Please be aware that during high season we may need to reduce the holding time for provisional bookings, but you will be made aware of this on the call.

Refund Policy

Four Weeks Notice

Bookings cancelled with four or more weeks notice, from the date of arrival are eligible to a full refund of the booking price. Cancellations made less than four weeks prior to your arrival date are not eligible for a refund.

All group bookings (4+ pitches) are not eligible for a refund, regardless of cancellation notice.

All refunds are made via our Stripe Payment system and can only be made back onto the payment card provided at the time of booking.

Amendment Policy

‘Amendments’ refer to any change on your original booking.

Amendments to your arrival/ departure dates can be made to your booking up to four weeks before your booking, subject to availability. We can also issue vouchers for the full price of your pitch with four weeks notice.

Changes to your group/ guest numbers can be made up to one week prior to arrival, subject to availability. Please note that each pitch price includes 4 people. Additional adults and children can be added to the booking for a fee.


Park Procedure

We like things to feel relaxing here at Baystone. That means we trust our campers to be considerate, kind and use common sense around the site. Having said that we are also a working fell farm/ riding centre and everything here depends of the success of our livestock, horses and people. As such we have some simple park procedures we ask you to adhere to.

Because of the nature of our setting please be aware that we will ask anyone seen to be breaking Campsite Rules, or disregarding our policies and procedures may be asked to leave.

Arrivals

Baystone Bank Farm Campsite is at the end of Baystone Bank Lane. As soon as you turn onto the drive you are subject to strict speed limits, put in place to protect the horses and sheep on the fields either side.

As you see the farmhouse please ensure your speed is no more than 5mph and you’re watching closely for our farm dogs and cats that often free-roam around the yard/ car park.

Check in is from 3pm – 7pm (early check in is available to add at the time of booking)

Arrivals after 7pm are strictly by prior arrangement only. Please call the Campsite Warden if you experience delays during your journey.

Campsite access (for arrival) is via the first gate on your right after passing through the main car park. To check in please park in the gravel lay-by opposite the wardens caravans/ reception area. One of the team will then greet you and show you to your pitch.

Please be aware that our wardens also manage and maintain the rest of the site. As such they may not be immediately available/ see you arrive. If someone doesn’t come out to you please call the warden on 07456642155.

Departure

We hope you’ve enjoyed a brilliant stay at Baystone. When it’s time to pack up your pitch or pod we ask that you:

  • Have your pitch fully cleared, ready for check out by 11am
  • Take all rubbish home with you where possible, or deposit it in the big bins in the main car park on exit.
  • Take all camping equipment home with you (including broken or unwanted items)
  • Report any breakages or damage
  • Leave your cabin, lodge or Roundhouse tidy, ready for routine cleaning.
  • Take all your food from the communal fridge and freezer.
Breakages and Damage

We kindly ask all guests to leave their pitch, cabin, lodge, Roundhouse, and any shared facilities as they found them. If anything is left in an unsatisfactory condition, or if damage occurs to the site or its furnishings, we reserve the right to charge a reasonable fee to the card used at the time of booking.

If you do accidentally break or damage something, please just let Reception or the Wardens know — we understand that accidents happen and really appreciate the heads-up.

Any charges made will always be fair and supported with clear evidence.

We reserve the right to charge the Debit/Credit Card used at the time of booking an additional and reasonable fee should the facilities/tent/pitch not be left in satisfactory condition or if there is any damage to the site, tents or Roundhouse or of the furnishing therein. It is requested that guests advise Reception/the Wardens in the event of breakage or damage. We would obviously back up any such charges with evidence.

Lost or Left Property

If you’ve left something behind, don’t worry — it happens! Please contact us within 2 weeks of your departure to arrange collection.

We’re happy to post items back to you where possible; postage and packaging costs will apply.

Unclaimed items will be donated or disposed of after the 2-week period.

If you think you might have left something behind, or misplaced something while on-site please contact us.

Cleaning and Maintenance

We have a team of wardens who live on-site and take care of the ground maintenance, facilities and guest requirements. If, during your stay, you experience any issues or concerns please contact them directly on 07456642155.

Feedback and Complaints

We genuinely value guest feedback and take all comments seriously. If you have a concern during your stay, please speak to the Campsite Warden directly — we’d much rather have the chance to put things right straight away.
